How do I give my Ministry Leaders access to the new features?

If you have not yet set up Ministry Leaders, you will want to declare a leader.

If you already have Ministry Leaders in the program, you will want to edit their permissions to allow them access to the new features.

How can I access the new features for Ministry Leaders as an administrator?

If you are an administrator, you can create your own volunteer profile and declare yourself as a Ministry Leader to check out the new features. This will allow you to access the Ministry Leader features at any time, enabling you to make small changes to the schedule, edit volunteer profiles, and communicate with volunteers when you are away from your primary computer.

If you do not want to be a Ministry Leader, you can use the Login as button in the Web Terminal pane to log in as a Ministry Leader and see what they will see.

How can I update a volunteer profile as a Ministry Leader?

To update volunteer profiles, first make sure your Ministry Leader permissions are updated to allow them to submit profile changes. Then:

  1. Log in to the Web Terminal as a Ministry Leader
  2. Click the Volunteer icon on the left side of the Admin tab
  3. Use the search bar to find a volunteer you want to edit
  4. Double click a volunteer’s name to view their profile

You can edit any field in the volunteer profile from there. Doing so will then create a Web Form, which will need to be processed before the change is applied. You can opt to have Web Forms automatically processed or manually processed by an MSP administrator.

How do I update the schedule as a Ministry Leader?

To make changes to a schedule — including adding or removing a position, placing or removing a volunteer, or flagging a volunteer, such as sub requested — first make sure your Ministry Leader permissions are updated to allow access to edit assignments and request subs. Then:

  1. Log in to the Web Terminal as a Ministry Leader
  2. Click on the Admin tab
  3. Use the calendar on the left to find the date you want to edit
  4. Make the change you want in the area on the right
    1. Add a position using the drop down in the upper right of the service
    2. Remove a volunteer or unfilled position using the X to the far right of a position
    3. Add or change a volunteer in a position by clicking the pencil icon on the right
    4. Flag a volunteer using the flag icon to the right
How can I send an email or text message as a Ministry Leader?

To send an email or text message, first make sure your Ministry Leader permissions are updated to allow them access to send emails and text messages. Then:

  1. Log in to the Web Terminal as a Ministry Leader
  2. Click the Announcements icon on the left side of the Admin tab
  3. Click Compose and select email or text message
  4. Compose your message and click Preview
  5. Send your message

If you are not ready to send a message, you can choose “Save as draft” in the lower left corner and return to your message from the Announcements tab later.

How can I see who has viewed my message?

Once you have sent a message, you can view a report that lists who has been sent the message, who has opened it, and if any messages have bounced.

  1. Log in to the Web Terminal as a Ministry Leader
  2. Click the Announcements icon on the left side of the Admin tab
  3. Look for the message you have already sent
  4. Using the dropdown to the right of the message, choose “Open report”
  5. You will now see a list of all the volunteers who were sent that message and the status. If a volunteer opened the email, the date it was opened will appear, as well.
